Position Title: Fulfillment Assistant

Reports to: Director of Operations

Location: Oakland

Result Statement:

You will wow Xtracycle clients by ensuring that orders ship quickly, cost-effectively and accurately while maintaining accurate inventory at Xtracycle’s headquarters. This pivotal role will help Xtracycle achieve its mission: By the end of 2020, Xtracycle will have 202+ partner dealers that place pre-season orders, 2020+ new riders annually, and 202+ people who choose to be brand ambassadors and actively promote the lifestyle and product to friends, family, and perfect strangers.


    • Ship goods to clients:

        • Package fully assembled bikes for shipment

        • Package all accessory shipments

        • Use the appropriate software to create shipping labels and ensure that orders will be picked up by the right carrier

        • Maintain supply of all needed shipping supplies

      • Look for ways to increase speed of fulfillment, reduce costs and increase accuracy

    • Receive goods and shipping materials

        • Physically place items in the appropriate place

      • Virtually manage the inventory to ensure that our online system matches up with the reality of what we have

    • Oversee inventory accuracy at Xtracycle headquarters

        • Maintain the right amount of inventory at Xtracycle headquarters

        • Take regular stock counts using the software and hardware needed to accomplish this.

      • Keep Xtracycle inventory at headquarters accurate physically and virtually by recording:

          • Sales orders

          • Purchase orders

          • Returns

          • Damaged goods

        • Other stock adjustments as needed

    • Put slightly damaged products online

        • Photograph damaged products and write descriptions

      • Take the appropriate steps online to post the product on our website and keep our inventory accurate

    • Prepare bikes for assembly

      • Unbox bikes, place them in bike stands, and remove protective packaging.

    • Kit building for specific products

      • Assemble kits as needed for specific products.

    • Take ownership of Xtracycle offices and distribution centers

        • Keep Xtracycle headquarters organized for efficient and effective flow of materials including receiving, back stock, assembly, packaging, shipping, returns.

        • Put out receptacles for trash, recycling and compost on a weekly basis.

        • Break down boxes for recycling as needed.

      • Improve the physical spaces as needed.

    • Physically move goods

      • Drive moving trucks or vans to bring goods from our fulfillment center in Dublin, CA to our headquarters in Oakland and other driving as needed.

  • Answer technical questions

    • Measure things as needed for other staff


    • Software for shipping bikes and accessories via small parcel and freight from Xtracycle headquarters.

    • Unleashed Software for managing virtual inventory

  • Communication with internal and external audiences:

      • Google Drive for internal documentation.

      • Gmail for external communication.

      • Slack and Airtable for internal communication.

      • Google Calendar for coordinating schedules with staff/contractors.

      • Zoom for meetings with staff/contractors

    • Dropbox for document storage that will be shared outside of Xtracycle.

    • You’re comfortable lifting heavy things (bike boxes that weigh up to 75lbs), like to use your hands, are adept with computers and can type quickly (at least 60 WPM) and accurately. A plus if you have experience with tools and/or assembling bikes.

    • Valid driver’s license with a proven ability to drive moving trucks and smaller vehicles safely.

  • A plus if you have a desire to learn how to assemble Xtracycles.


This is a part-time (approx 20 hour/week) position with the potential for personal and career growth.
